Timing & Attendance Policy

This policy has two parts — Part A for Kota office staff and Part B for the Sales team.

PART A — Kota Office Staff

A1. Office Timing

First half 10:00 AM – 2:30 PM
Second half 2:30 PM – 7:00 PM
Lunch break 2:00 PM – 3:00 PM

A2. Arrival & Late Coming

  • Arrive by 10:00 AM. A 15-minute grace period is allowed, until 10:15 AM.
  • Maximum 3 late arrivals per month. Any instances beyond this will attract salary deduction or disciplinary action, as applicable.

A3. Lunch, Breaks & Work Discipline

  • Lunch break is 2:00 PM – 3:00 PM. No lunch break for staff on a half-day shift.
  • If you leave the premises during lunch hours for personal work, you must punch out on the biometric system (and punch back in on return).
  • Lunch break extensions: An occasional few minutes' extension is understandable, but extending lunch breaks unnecessarily on a daily basis will attract strict action.
  • Leaving without information: If you need to leave during working hours, take an early lunch, or attend to any emergency/personal work, you must inform your senior or HR in advance. Leaving without prior information is not acceptable.
  • Unnecessary breaks: Keep breaks reasonable and utilize working hours properly. Too many unnecessary breaks will be treated as a discipline issue.

A4. Office Entry & Exit Rules

  • Punch out and punch in every time you leave and re-enter the office — no exceptions.
  • No tailgating. Do not enter or exit behind another person without punching — this can lead to disciplinary action.
  • Keep office gates closed at all times.

A5. Mandatory Daily Report

  • Some roles have a mandatory daily report that must be submitted every working day via Microsoft Teams, before close of business.
  • If your role has a mandatory daily report, it applies on every working day — regardless of where you are working from.

A6. Hour Adjustment for Late Stay

  • On a few occasions we may allow hour adjustments, but coming late and staying late is not a policy. Do not work fewer hours during the day and then stay after 7:00 PM just to complete or adjust the 9-hour punching requirement — you are required to follow office timings. In case of a genuine issue, we will consider it.
  • Why this matters: much of your work involves collaborating with colleagues who may not be available after office hours — working the same hours as the team keeps everyone productive.

A7. Compliance & Tracking

⚠️ Note: All of the above is being noticed and tracked. There will be no tolerance for repeated violations. There will be salary/leave reductions as per this attendance policy. Please maintain proper discipline and follow the timings — avoid the need for repeated reminders.

PART B — Sales Team

B1. Working Hours

  • Sales team working hours are 9:00 AM – 6:00 PM, Monday to Saturday.

B2. Daily Requirements

Sales team members must strictly adhere to the following, every working day — including when working from the Kota office:

Requirement Details
Jibble clock-in/out Clock in and clock out daily using the Jibble app, ensuring a minimum of 9 working hours per day.
Daily work report Submit via Microsoft Teams before close of business each day — even when working from the Kota office.
Lead updates in ERP All lead updates and activity logs must be entered and maintained in the ERP system daily.

B3. Half-Day Rules for Field Visits

  • Reaching your first customer location after 12:00 PM will be counted as a half day.
  • Returning within 4 hours of the first customer visit will also be counted as a half day.

⚠️ Important: Failure to complete any of the daily requirements above on a given day will result in your attendance for that day not being counted for salary purposes — and if you are marked absent for a day, expense claims for that day will also be rejected. Continued non-compliance may result in disciplinary action, including salary deductions or suspension.
